About the Role
We are seeking a highly organized, reliable, and detail-oriented Junior Accounts Payable Associate to join our finance team. The ideal candidate will have working knowledge of bookkeeping practices in the Philippines, hands-on experience with QuickBooks (or similar accounting software), and the ability to work independently with minimal supervision. This role is critical to ensuring our vendor payments, reconciliations, and accounting records are accurate and timely.
Key Responsibilities
- Process, code, and enter vendor invoices and expense claims into QuickBooks (or assigned accounting system)
- Review invoices and supporting documentation to ensure compliance with company policy, local regulatory requirements, and PO approvals
- Monitor and follow up on outstanding invoices, vendor statements, and discrepancies
- Reconcile vendor accounts and resolve variances
- Prepare and process payment runs (e.g. bank transfers, checks, e-payments) in coordination with treasury or cash operations
- Maintain accurate vendor files and documentation (physical and electronic)
- Assist in month-end closing tasks related to accounts payable (accruals, cut-offs, account analysis)
- Support internal/external audits by preparing schedules, supporting documents, and responding to queries
- Generate reports (e.g. aging, payments forecast) as required by management
- Continuously improve AP processes for efficiency and control
Qualifications & Skills
- Bachelor’s degree in Accountancy, Finance, or any business-related course preferred; non-graduates with strong bookkeeping/QuickBooks skills are also welcome to apply
- Some prior experience (0–2 years) in accounts payable, bookkeeping, or accounting support roles
- Solid understanding of bookkeeping principles under Philippine accounting standards
- Proficiency in QuickBooks (or similar accounting software)
- Strong Excel skills (e.g. VLOOKUP, pivot tables)
- High attention to detail and accuracy
- Ability to prioritize, meet deadlines, and manage multiple tasks simultaneously
- Self-starter mindset — able to work unsupervised and take ownership of deliverables
- Good communication skills (written and verbal)
- Integrity, reliability, and professional attitude
Preferred (but not required): familiarity with BIR / tax withholding (2307/2306) documentation in the Philippines, experience with local regulatory requirements
